Standard cancellation notice

Use when: you're within your notice period and want to cancel cleanly at the end of the current term.

I am writing to give formal notice of cancellation of our [product/service name] subscription, in accordance with the notice period set out in our agreement.

Our contract reference is [contract ID or agreement date]. Based on the [X]-day notice period required, this notice takes effect from [today's date] and the contract will terminate on [end date].

Please confirm receipt of this notice and the scheduled termination date. If there are any steps required on our end to complete the cancellation, please let us know.

We would appreciate confirmation that our account will be closed and that no further charges will be made after [end date].

Cancellation with feedback

Use when: you want to explain why you're leaving and leave the door open for re-engagement, or when the vendor might ask anyway.

I am writing to give formal notice that [Your Company] will not be renewing our [product/service name] subscription. Our current term ends on [end date], and we have satisfied the [X]-day notice requirement.

I wanted to share brief feedback on our decision:

- We are consolidating our SaaS tooling and [product] does not fit our revised stack.
- The pricing no longer aligns with the value we are getting from the product.

Immediate termination for cause

Use when: the vendor has materially breached the contract (e.g. persistent downtime, data breach, SLA failures) and you have grounds for early exit.

Dear [Vendor contact name / Legal team],

I am writing on behalf of [Your Company] to give formal notice of the immediate termination of our agreement for [product/service name], dated [agreement date].

We are exercising our right to terminate for cause under Section [X] of the agreement, due to the following material breach(es):
